Privacy Policy
Effective date: October 30, 2026
This Privacy Policy explains how Jonathan Mark, doing business as Havio ("Havio," "we," "us") collects, uses and shares information when you use the Havio website at havio.app and the Havio apps for iPhone and Android (the "Service"). Havio helps landlords manage repair requests, vendors and rent with their tenants.
1. Who uses Havio
Havio has three kinds of users:
- Landlords, who create an account, add properties and units, invite tenants, assign repairs to vendors and collect rent.
- Tenants, who are invited by their landlord to report repairs and pay rent.
- Vendors, such as plumbers or handymen, who receive job details by text or email link from a landlord. Vendors do not need an account.
2. Information we collect
Information you give us
- Account details: name, email address, phone number, and whether you are a landlord or tenant.
- Sign-in security: if you set a password, our sign-in provider (Supabase) stores it only in scrambled (hashed) form, so nobody at Havio can read it. If you turn on two-step verification, we keep the key your authenticator app uses and scrambled copies of your recovery codes.
- Property and rental details: property addresses, unit numbers, rent amounts, due dates and tenant contact details that a landlord enters.
- Repair requests: descriptions, photos you upload, urgency, access or entry instructions, and messages about the repair.
- Vendor details: names, phone numbers, email addresses, trade, invoices, and amounts billed, entered by a landlord or the vendor.
- Messages and documents: messages between a landlord and tenant, and documents either of them uploads, such as leases, notices, inspection reports, insurance papers and tax forms.
- Move-in and move-out records: condition checklists, including each item's condition, notes, photos, and the name and time of each signature; security deposit details, including the amount, the date paid, where it is held, deductions, interest and when the statement was sent; the forwarding address a tenant gives after moving out; and move-in tasks a state requires, such as the date the locks were rekeyed.
- Tax form details: to prepare state rent forms such as Minnesota's Certificate of Rent Paid or Wisconsin's Rent Certificate, a landlord may enter their own name, mailing address and phone number, each property's county and parcel number, the names of the adults in each rental household, the dates they rented, and whether the household received Medical Assistance or Housing Support. Landlords enter these only for the forms, and Havio uses them only to fill in the forms for the landlord.
- Support messages: anything you send to support@havio.app.
- Reports: when you report a message, the message, the reason and any note you add. Havio staff read reported messages to review them; the person who sent the message isn't told who reported it.
Information from sign-in providers
If you sign in with Google or Apple, we receive your name and email address and a unique account ID from that provider. With Apple, you may choose to hide your email; we then receive an Apple relay address that forwards to you. We do not receive your Google or Apple password, and we do not access your email, contacts, calendar or files.
Payment information
Rent payments are processed by Stripe. Bank account and identity details are entered directly with Stripe, not with Havio. We receive limited information from Stripe, such as the bank name, the last four digits of the account, payment amounts, dates and status. Landlords complete identity verification with Stripe to receive payouts.
Information collected automatically
When you use the Service we collect basic technical data: IP address, browser and device type, pages and features used, and timestamps. If you turn on notifications in the Havio app, we store a notification token for your phone so we can send them; it is deleted when you turn notifications off or sign out, and stops working if you remove the app. We use essential cookies and similar storage to keep you signed in. We do not use advertising cookies.
3. How we use information
We use information to:
- Create and secure your account and let you sign in.
- Route repair requests from tenants to landlords and from landlords to vendors.
- Process rent payments, payouts and vendor invoices through Stripe, and show payment history.
- Send service messages by email, text and app notification, such as new repair requests, repair status updates, job links for vendors, rent reminders, receipts, move-in checklists, deposit statements and deposit deadline reminders.
- Help landlords keep move-in and move-out records, prepare deposit statements, and prepare state rent forms that the landlord reviews and files.
- Provide support, prevent fraud and abuse, and fix problems.
- Improve the Service, using aggregated or de-identified data where possible.
- Meet legal, tax and accounting obligations.
4. Text messages (SMS) and mobile information
If you give us your mobile number and agree to receive texts, we use it to send service messages about your account, repairs, jobs and rent. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for help. You can also contact support@havio.app.
We do not sell, rent or share your mobile phone number, mobile information, or text message opt-in data and consent with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are not shared with any third parties, except the service providers that deliver our messages (such as Twilio), and only to send those messages.
5. How information is shared
We do not sell your personal information, and we do not share it for targeted advertising.
Between users of a rental. Havio works by sharing the right details with the right people:
- Landlords see their tenants' names, contact details, repair requests, photos, messages, uploaded documents, checklist entries and photos, forwarding addresses and payment status.
- Tenants see their landlord's name and contact details, their unit, their repair status, their payment history, messages, the documents their landlord shares with them, their checklists, and their deposit statement once it is sent.
- Vendors see the job description, photos, property address, access instructions and the contact details the landlord chooses to share for that job.
With service providers who run parts of the Service for us, only as needed to provide it:
| Provider | What they do |
|---|---|
| Supabase | Database, sign-in and file storage |
| Cloudflare | Website hosting and security |
| Stripe | Rent payments, payouts and identity verification |
| Twilio | Text message delivery |
| Resend | Email delivery |
| Google Firebase | App notifications (Firebase passes them to Apple for iPhones) |
| Google and Apple | Sign-in, if you choose it |
Stripe processes payment data under its own Privacy Policy.
Tax forms. Havio does not send rent forms to any tax agency. The landlord downloads or prints them and files them, and gives each renter their copy.
For legal reasons, if required by law, subpoena or court order, or to protect the rights, safety or property of users, Havio or others.
In a business transfer, such as a merger or sale of Havio, subject to this policy. The SMS protections in section 4 continue to apply.
6. Landlords and tenant information
Landlords decide what tenant and property information they enter into Havio and are responsible for having the right to share it. Questions about how a landlord uses tenant information outside Havio should go to that landlord.
7. How long we keep information
We keep account information while your account is open. When an account is deleted, we delete or de-identify personal information within 90 days, except where we must keep it longer. Payment and rent records may be kept for up to 7 years for tax, accounting and dispute purposes. Repair, rent, message, checklist and deposit records stay available to the landlord for the property they relate to, because landlords may need them for taxes, deposit disputes and other legal obligations. When a tenant deletes their account, those records stay with the landlord but are no longer linked to the tenant's account. When a landlord deletes their account, the properties they alone managed are deleted along with their records, and their tenants are told by email.
8. Security
We use encryption in transit, sign-in through emailed codes, passwords, Google or Apple, optional two-step verification with an authenticator app, access controls that limit each user to their own rentals, and providers with strong security programs. No system is perfectly secure, so please use a password you don't use anywhere else, turn on two-step verification, keep your email, Google and Apple accounts secure, and tell us right away at support@havio.app if you suspect unauthorized access.
9. Your choices and rights
- Access and correction: you can view and edit most account details in the app.
- Deletion: you can delete your account in the app, under Settings (landlords) or Profile (tenants), or ask us by emailing support@havio.app. Some records may be kept as described in section 7.
- App notifications: you can turn them off in the app or in your phone's settings.
- Texts: reply STOP to any text to stop texts.
- Emails: you can turn off non-essential emails in your settings. Some service emails, like receipts and security notices, cannot be turned off while your account is open.
- State privacy rights: depending on where you live, you may have rights to access, correct, delete or get a copy of your information, and to opt out of certain processing. Email support@havio.app to make a request. We will not discriminate against you for using these rights.
10. Children
Havio is for adults. We do not knowingly collect information from anyone under 18. If you believe a child has given us information, contact us and we will delete it.
11. Changes to this policy
We may update this policy. If changes are significant, we will notify you by email or in the app before they take effect. The effective date above shows the latest version.
